Implementation

At CarbonSystems we have developed a tried and tested methodology to support the deployment of our ESP platform. Our Software PLUS Service implementation strategy is built around a collaborative process that ensures consistent and quality client outcomes. Where necessary, we will tailor our software and services to your needs and preferences to ensure we deliver a solution that best fits your sustainability management and reporting objectives. The key elements of our methodology are as follows:

1. Project Initiation

CarbonSystems will initiate the project setup with:

  • A ‘kick-off’ meeting to confirm the project approach, protocols and governance
  • Defining the scope in preparation for the Client Workshop

2. Client Workshop

A facilitated scoping workshop addressing:

  • Scope of works, project timeline, responsibilities and nominated project teams
  • Energy sources, carbon emissions and other environmental measures to be tracked by your organisation
  • Organisational structure and reporting hierarchy
  • Data mapping – assess current flow and format of consumption and emissions data

3. System Configuration

Configuration and set-up of ESP includes:

  • Configuring a hierarchy for your organisational structure
  • Loading all location information along with classifications and attributes data if appropriate (sq meters, no. of FTE’s etc.)
  • Configuring accounts in ESP for all indentified emission sources and linking them to relevant emission factors

4. Ongoing Data Plan

We work with your team to:

  • Undertake a comprehensive data mapping exercise identifying all sources, formats and suppliers of energy and emissions data
  • Create an Ongoing Data Plan
  • Build connectors to automated data sources
  • Enable user logins

5. Historical Data Plan

We provide guidance for you to collect the required data in the required format for historical data collection and load, including:

  • Review and manipulation of existing data formats to upload
  • Completeness and accuracy testing of uploaded data

6. Reporting

A comprehensive workshop to scope your reporting requirements, including:

  • Develop any custom reports as required
  • Assist in the configuration of a reporting schedule in ESP to automatically reports to nominated individuals in your organisation on a periodic basis
  • Identify any external data publishing requirements, and set up widgets and web-services that can be configured to run on your intranet or websites
  • Provide training in configuring reports through the custom Report Writer

7. Training

CarbonSystems standard practice is to provide training and handover to the nominated System Administrators:

  • Conducted on your live site with key system users during the course of the implementation to ensure the highest level of user familiarisation
  • Hands on training to ensure users are skilled at performing the day to day administration tasks
  • Remote users can be included in training via webinar

8. Support Transition

Generally we anticipate our project engagements to run for about 3-4 months – from commercial sign-offs through to handover

We view CarbonSystems as a key part of our effort to achieve Microsoft’s business and environmental sustainability goals.
